Privacy Policy
Last updated: October 25, 2026
STR Optimizer is a monthly email brief about a short-term rental listing. This policy explains exactly what we collect, what we deliberately do not collect, who else sees it, and how to make us delete it.
Who we are
This service is operated by Hermosa Ventures LLC, a Texas limited liability company, at PO Box 830883, Richardson, TX 75083-0883. You can reach us at support@optimizemystr.com.
For the purposes of the UK and EU GDPR, Hermosa Ventures LLC is the data controller for the information described below.
What we collect
| What | Why we have it | How long we keep it |
|---|---|---|
| Your email address | To send your brief and to contact you about your subscription | Until you cancel, then 12 months, unless you ask us to delete it sooner |
| Your listing URL | It is the subject of the brief. We re-read it each month to detect what changed | Same as above |
| Public information from that listing — title, description, amenities, bed configuration, house rules, rating, review count, the six category subscores, Airbnb's own review theme counts, and the photos published on your listing page | It is the raw material of the brief, and we keep a monthly snapshot so we can tell you what changed and which of last month's moves you completed | Same as above |
| Subscription status and billing history | To know whether to send you a brief, and to handle refunds and disputes | Seven years, for tax and accounting purposes |
| Where you came from — a campaign tag on the link you clicked, or the site that referred you (for example “facebook.com”) | To know which of our channels actually works. We don’t advertise, so this is the only way we can tell | Same as above |
| Whether you unsubscribed | So we do not email you again | Indefinitely — this is the only way to honour an unsubscribe |
What we never collect
This list is as important as the one above, and it is the reason the service only ever asks you for a URL and an email address.
- Your Airbnb, Vrbo or Booking.com login. We never ask for it and we have no way to use one. Everything we read is the public listing page that any guest can see.
- Your calendar, payouts, earnings, costs or guest messages. These are behind your login, so they are outside the service entirely. Nothing in your brief accounts for what your property actually costs you to run.
- Your card number. Payment details go directly to Stripe and never touch our servers. We can see the last four digits, the card brand and the expiry date; we cannot see the full number.
- The text of individual guest reviews. Airbnb's robots.txt disallows the reviews page, so we do not fetch it. We use Airbnb's own published theme counts instead.
- Your location, your device, or your browsing. See the tracking section below.
Cookies and tracking
Two honest caveats, because "no tracking" is a claim worth qualifying:
- The photograph at the top of our home page is served from Unsplash's content delivery network. Loading it means Unsplash's servers receive your IP address and browser user-agent, as happens with any image loaded from another domain. We receive nothing from this.
- Our hosting providers keep standard server logs, including IP addresses, as a normal part of serving and protecting a website. We do not use those logs to build any profile of you.
One thing we do record, and only once: when you subscribe, we note where you arrived from — a campaign tag on the link, or the referring website’s name. It is read from your browser at that moment and sent with your subscription. Nothing is stored in your browser to do it, and it does not happen to visitors who don’t subscribe, so the sentence above still holds: we cannot tell how many people visit this site.
Because we set no cookies and do no cross-site tracking, there is no cookie banner on this site and nothing for you to opt out of.
Who else sees your data
We do not sell your personal information, and we have never done so. We do not share it for cross-context behavioural advertising. We use the following providers to run the service, and each receives only what it needs:
| Provider | What it receives |
|---|---|
| Stripe | Your email address and payment details, to take payment and run the subscription portal |
| SendGrid | Your email address and the contents of your brief, to deliver it |
| Render | Hosts the application and database where the data above is stored |
| Netlify | Serves this website. Receives standard web request data only |
| AirROI | Receives the market your listing is in — a place name and approximate coordinates — to return market statistics. It does not receive your email address or your identity |
| A large language model provider | Receives the public listing information described above, to write the prose around figures we have already computed. This includes your listing photos, which a vision model reads so the brief can say what each one shows. It is never given your email address, and it is never allowed to produce the numbers |
We will also disclose information if we are legally required to, or where we need to in order to establish, exercise or defend a legal claim.
How your brief is produced
Worth stating plainly, because it affects what is done with your data: every number in your brief is computed in code and tested. A language model is used only to write sentences around figures that already exist. It is not asked to estimate, infer or invent any value about your property or your market.
What we do with your photos
We read the photos already published on your public listing page — the same ones any guest sees. A vision model describes what is in each one, for example “living room with stone fireplace”. We use those descriptions to check two things we can compute: whether something visible in your photos is missing from your amenity list, and whether the things guests write about most appear in the photos a guest sees first.
We do not store your photos. We do not grade their quality — we make no claim about lighting, composition or staging, because those are not things we can measure. If you would rather we skipped this entirely, email us and we will turn it off for your listing.
Your rights
Wherever you live, you can ask us to:
- Show you what we hold about you
- Correct anything that is wrong
- Delete it
- Send you a copy in a portable format
- Stop emailing you, which you can also do yourself from the unsubscribe link at the bottom of every brief
If you are in the EU or UK, you also have the right to object to or restrict processing, and the right to complain to your local supervisory authority. If you are in California, you have the rights described above under the CCPA/CPRA, and we will not discriminate against you for exercising them — we do not sell or share personal information, so there is no sale to opt out of.
Email support@optimizemystr.com and we will respond within 30 days. We may need to confirm you control the email address on the account before acting.
Security
Data is transmitted over TLS and stored in a managed database that is not publicly reachable. Payment details never reach our systems. No system is perfectly secure, and we do not claim otherwise; if a breach affects your data, we will tell you and any regulator we are required to notify.
International transfers
We are based in the United States and our providers process data in the United States. If you are outside the US, using the service means your information is transferred there.
Children
This service is for people running a rental property and is not directed at anyone under 18. We do not knowingly collect information from children. If you believe a child has given us information, email us and we will delete it.
Changes to this policy
If we change this policy we will update the date at the top. If a change materially affects what we do with your data, we will tell subscribers by email before it takes effect.
